The Executive Administrator will work with the broader Executive and Senior Leadership Teams and the other Executive Administrators to perform administrative duties.<br><br><strong>Roles:<br><br></strong><ul><li>Provide support to the CEO and Executive Leadership Team </li><li>Act as the company’s first-line representative to external constituents (i.e., Board members, private equity staff, etc.) </li><li>Provide support to the Administrative Team and availability for back-up coverage as needed <br><br></li></ul><strong>Major Responsibilities or Assigned Duties:<br><br></strong><strong>CEO administrative support: <br><br></strong><strong>Serve as assistant to CEO: <br><br></strong><ul><li>Prepare internal and external corporate documents for team members and industry partners throughout the Microsoft Office suite of products </li><li>Proactively manage calendars of Officers by scheduling meetings and appointments and managing travel itineraries </li><li>Prepare expense reports and reconcile </li><li>Monitor incoming email requests and keep respective members of the leadership team apprised of important information </li><li>Leverage technology to support the Officer during regular tasks (ex. note taker in meetings) </li><li>Assist with ad-hoc large-scale projects from members of the Executive Leadership Team <br><br></li></ul><strong>Maintain an organized filing system of electronic documents <br><br></strong><strong>Interface with external business partners as needed by the Officer (ex. board members, private equity support staff, banking officials, etc) <br><br></strong><strong>Manage projects and events from planning through delivery to ensure deliverables, requirements, schedules, costs, and meeting plans are properly tracked and communicated <br><br></strong><strong>General Role and Responsibilities: <br><br></strong><ul><li>Uphold a strict level of confidentiality </li><li>Responsible for time-sensitive and PI sensitive information </li><li>Develop and sustain a level of professionalism among staff and clientele <br><br></li></ul><strong>Assist the Administrative Team with duties and provide back-up support with scheduling <br><br></strong><ul><li>Support all Quality Management initiatives as applicable </li><li>Support all Compliance Program activities, including maintaining confidentiality and adhering to HIPAA guidelines </li><li>Participate in all Company meetings and training as applicable </li><li>Complete other duties and responsibilities as requested <br><br></li></ul>Requirements:<br><br><strong>Qualifications: <br><br></strong><ul><li>Minimum three years of experience directly supporting one or more executive team members </li><li>Minimum one year of experience working in a customer service, logistics and/or clerical environment </li><li>Preference for experience within a health care/or managed care organization<br><br></li></ul><strong>Skills and Experience: <br><br></strong><ul><li>Ability to work in a fast-paced and high-functioning office setting </li><li>Ability to work independently with minimal supervision </li><li>Exceptional customer service and interpersonal skills with the ability to prioritize requests and timelines </li><li>Strong orientation to detail </li><li>Strong organizational project management and problem-solving skills with impeccable multitasking abilities </li><li>Proactive in solving situations before they become problems and impact the office and/or employees </li><li>Strong clerical skills, including typing, filing, copying, and faxing </li><li>Advanced Microsoft Office skills, strong working knowledge of Excel formulas, excellent PowerPoint skills, and an ability to become familiar with company-specific programs and software </li><li>Understanding and working knowledge of the Company’s clients, products, departments, workflows, and applicable regulatory requirements and accreditation standards. </li><li>Friendly and professional demeanor<br><br></li></ul><strong>Education: <br><br></strong><ul><li>High School diploma </li><li>Preference for Bachelor’s degree, preferably in communications, business, or health care</li><li>:<br><br></li></ul><strong>Work Environment:<br><br></strong>Ability to sit at a desk, utilize a computer, telephone, and other basic office equipment is required.
