Senior Bookkeeper

Introduction

In a medium-sized company in South Africa the Senior Bookkeeper should effectively function as the Finance Office Manager, ensuring that the books are accurate and complete before they are handed over to the external CA(SA), if Vukela Connect is still planning to make use of an external CA(SA).

The Senior Bookkeeper should be capable of producing management accounts up to Trial Balance, with the CA(SA) responsible for technical accounting, statutory compliance, taxation, annual financial statements, and strategic financial advice.

Technical / Systems experience required:

  • Microsoft Office Suite.
  • Accounting Systems (Acumatica preferred, Dokka preferred, Sage).
  • HR Information Systems (Pace HR etc.)
  • Payroll systems (Sage, VIP Payroll, PaySpace etc.)

Duties & Responsibilities

Job functions:

General Bookkeeping:

Maintain the company's accounting records to Trial Balance - responsibilities include:

  • General ledger maintenance.
  • Journal processing.
  • Bank reconciliations.
  • Credit card reconciliations.
  • Petty cash management.
  • Cashbook processing.
  • Intercompany reconciliations (where applicable).
  • Balance sheet reconciliations.
  • Monthly ledger reconciliations.

 

Accounts Payable (Creditors) and Accounts Receivable (Debtors):

  • Assist the Creditors and Debtors department on an ad-hoc basis with any of the following: supplier invoices, purchase orders, reconciliations, payment preparation, age analysis, payment terms, resolving supplier queries, monthly payment runs, customer invoicing, receipt and collections, credit control, bad debt reporting etc.

Cash Flow Management:

  • Assist management with daily cash monitoring, weekly cash flow forecasts, payment scheduling, working capital management & banking administration.

Payroll Administration:

  • Assist with payroll administration which includes payroll input preparation, leave reconciliation, overtime calculations, commission calculations, employee deductions, salary journals, payroll reconciliations and work closely with HR to ensure payroll accuracy.

VAT Administration:

  • Responsible for VAT reconciliations, VAT schedules, reviewing VAT transactions, preparing VAT information for submission and maintaining supporting documentation.
  • VAT submissions will be reviewed and authorised by the external CA(SA).

Asset Register:

  • Maintain fixed asset records including asset additions, disposals, transfers, depreciation schedules and asset verification.

Inventory Control – where applicable:

  • Stock adjustments.
  • Inventory valuation support.
  • Inventory reconciliations, cycle count reconciliation and warehouse stock reconciliation.

Month-end close:

  • Complete monthly financial close including accruals, pre-payments, general journals, balance sheet reconciliations, trial balance preparation and supporting schedules.
  • Prepare monthly management accounts for review by the external CA(SA).

 

Compliance:

  • Ensure compliance with VAT legislation, PAYE, UIF, SDL, company policies and internal financial controls.

 

Internal Controls:

Maintain sound financial controls by ensuring:

  • Segregation of duties.
  • Approval procedures.
  • Accurate financial documentation.
  • Fraud prevention controls.
  • Proper filing systems.

 

Management Reporting:

  • Profit & Loss
  • Balance Sheet
  • Trial Balance
  • Cash Flow Summary
  • Debtors Age Analysis
  • Creditors Age Analysis
  • Budget vs Actual
  • Expense Analysis
  • Revenue Reporting

 

Audit Preparation:

Prepare all supporting documentation required for:

  • Annual Financial Statements
  • External Audit
  • Tax submissions
  • SARS queries
  • Bank funding requests

 

Desired Experience & Qualification

Industry experience:

  • Experience working within Telecommunications, Cellular, Engineering, Construction or Technical environments will be highly advantageous.

Work experience required:

  • A minimum of 5 years’ Senior Bookkeeping experience is required.

Qualifications required:

  • Matric/Senior Certificate.
  • National Diploma in Accounting/Bookkeeping.

Advantageous:

  • Bachelor’s Degree in Accounting/BCom Accounting/Advanced Diploma in Accounting.
  • Professional membership (SAIPA/SAIBA/ICB National Diploma in Financial Accounting/ICB Certified Senior Bookkeeper/CIMA).

Package & Remuneration

R35 000 -R42 000 per month
